Crawlability.ai ("Crawlability", "we", "our", or "us") provides AI discoverability, AI visibility, brand measurement, competitive intelligence, monitoring, and related services.

This Privacy Policy explains how information is collected, used, shared, transferred, and protected when you use Crawlability.ai, its applications, reports, APIs, dashboards, and related services (collectively, the "Services").

1. Who Controls Your Data

Crawlability is operated principally by Elystra Private Limited, Tamil Nadu, India ("Elystra"), which is the main entity operating and registering the Crawlability service and generally acts as the primary data controller.

For customers in the United States, LeapStripe LLC, Delaware, USA ("LeapStripe") is used as the contracting and billing entity. Where LeapStripe is your billing entity, LeapStripe and Elystra may act as joint or successive controllers or processors, as permitted by applicable law.

Elystra and LeapStripe may provide technology, development, administration, support, and operational services to one another. Where this occurs, the entities may act as processors, service providers, or joint participants in providing the Services, as permitted by applicable law.

The entity identified on your Order Form, invoice, checkout page, or subscription agreement will take precedence where applicable.

2. Information You Provide

Depending on how you use Crawlability, you may provide:

  • your name;
  • business email address;
  • organization or company name;
  • billing information;
  • account and authentication information;
  • website domains and URLs;
  • brand names;
  • product or service names;
  • competitor names and competitor domains;
  • prompts, queries, keywords, topics, and measurement criteria;
  • information submitted through support requests;
  • configuration, monitoring, reporting, and project information; and
  • other information you choose to provide.

AI Measurement Inputs

A core function of Crawlability involves measuring how brands, websites, products, competitors, and topics appear within third-party artificial intelligence systems.

When you request an AI visibility, discoverability, citation, recommendation, competitor, prompt, or similar measurement, information supplied by you may be submitted to third-party AI engines.

This can include:

  • domain names;
  • URLs;
  • brand names;
  • competitor names;
  • product names;
  • public company information;
  • prompts and search questions; and
  • other measurement parameters.

Depending on the measurement selected, Crawlability may submit this information to AI providers including:

OpenAI Google, including Gemini Anthropic, including Claude Perplexity

These providers process the relevant request so Crawlability can measure, analyze, compare, classify, or report the AI engine's response.

By using Crawlability's AI measurement functionality, you acknowledge that the domains, brand names, competitor names, prompts, and other information used in a measurement may be transmitted to one or more of these third-party AI providers.

You should not enter confidential, personal, regulated, proprietary, or sensitive information into measurement fields unless you are authorized to do so.

3. Information Collected Automatically

When you use the Services, we may automatically collect limited technical information such as:

  • IP address;
  • browser and device type;
  • operating system;
  • pages or features accessed;
  • timestamps;
  • session information;
  • referring URLs;
  • application errors;
  • performance information;
  • approximate geographic information derived from IP address; and
  • usage and interaction data.

We use this information to operate, secure, improve, and understand use of the Services.

4. How We Use Information

We may process information to:

  • create and maintain accounts;
  • provide AI discoverability and visibility measurements;
  • query third-party AI engines;
  • calculate Crawlability Scores and other metrics;
  • generate reports, recommendations, action plans, monitoring results, and competitive analyses;
  • monitor AI mentions, citations, prompts, and visibility;
  • process payments and subscriptions;
  • allocate and track credits;
  • provide customer support;
  • send transactional and service communications;
  • improve reliability and product functionality;
  • detect fraud, abuse, and security threats;
  • analyze product usage;
  • comply with legal obligations; and
  • enforce our agreements.

Where applicable, our lawful bases may include performance of a contract, legitimate interests, consent, and compliance with legal obligations.

5. Third-Party Service Providers and Sub-processors

Crawlability relies on third-party infrastructure and technology providers to deliver the Services.

Our principal providers include:

OpenAI

Used to perform AI response measurements, analysis, classification, and related AI-processing functions. Information transmitted may include domains, brand names, competitor names, prompts, URLs, and other measurement inputs.

Google / Gemini

Used to measure AI visibility, responses, citations, recommendations, and related information within Google's AI systems. Information transmitted may include domains, brand names, competitor names, prompts, URLs, and other measurement inputs.

Anthropic / Claude

Used to measure AI responses and perform AI-related analysis. Information transmitted may include domains, brand names, competitor names, prompts, URLs, and other measurement inputs.

Perplexity

Used for AI visibility, answer, citation, recommendation, and related measurements. Information transmitted may include domains, brand names, competitor names, prompts, URLs, and other measurement inputs.

Supabase

Used for database infrastructure, authentication, application backend services, and storage.

Amazon Web Services (AWS)

Used for infrastructure and hosting services and Amazon Simple Email Service (SES) for transactional email delivery.

Vercel

Used for application and website hosting, deployment, edge delivery, and related infrastructure.

Stripe

Used to process subscription and payment transactions. Crawlability generally does not store complete payment card details. Payment information is handled by Stripe in accordance with Stripe's own terms and privacy practices.

Analytics

Crawlability uses its own in-house, first-party analytics to understand product and website usage, performance, and feature adoption. We do not use third-party analytics providers, and we do not use third-party advertising or cross-site tracking cookies.

We may add, replace, or remove service providers as our technology changes. Material changes affecting how personal data is processed will be reflected in this Privacy Policy or our sub-processor disclosures.

6. Public Brand and Competitor Information

Crawlability is designed to analyze information about brands and organizations that is publicly available or observable through public-facing AI systems and websites.

A user's request to measure another company's brand, website, products, competitors, public AI visibility, or public AI responses does not ordinarily require the measured organization to maintain a Crawlability account.

We may therefore process publicly available business names, domains, URLs, product names, and other non-sensitive business information as part of providing competitive and market intelligence functionality.

7. International Data Transfers

Crawlability operates internationally.

Information may be processed in countries other than the country where you are located, including the United States and India.

For example:

  • Elystra operates from India;
  • LeapStripe operates from the United States;
  • AI providers and infrastructure providers may process information in the United States and other jurisdictions.

Where personal data originating in the European Economic Area is transferred to a country that has not been recognized as providing an adequate level of data protection, we use legally recognized safeguards where required.

These safeguards may include the European Commission's Standard Contractual Clauses ("SCCs"), applicable data processing agreements, supplementary security measures, or another legally recognized transfer mechanism.

Where required, we will make further information regarding applicable transfer safeguards available upon reasonable request.

8. Data Retention

We retain information only for as long as reasonably necessary for:

  • providing the Services;
  • maintaining account history;
  • producing reports and measurements;
  • fulfilling contractual obligations;
  • security and fraud prevention;
  • resolving disputes;
  • maintaining required financial records; and
  • complying with applicable law.

Retention periods may vary depending on the type of information and the Services used.

Aggregated or de-identified information that can no longer reasonably identify an individual may be retained for longer periods.

9. Data Security

We use administrative, technical, and organizational measures intended to protect information from unauthorized access, alteration, disclosure, or destruction.

No internet-based system can guarantee absolute security.

10. Your Privacy Rights

Depending on where you live, you may have rights to:

  • access personal data we hold about you;
  • correct inaccurate information;
  • request deletion;
  • restrict certain processing;
  • object to certain processing;
  • request data portability;
  • withdraw consent where processing is based on consent; and
  • lodge a complaint with a relevant data protection authority.

Rights may vary depending on jurisdiction and may be subject to lawful exemptions.

11. United States Privacy Rights

Crawlability does not sell personal information for monetary consideration.

12. Children's Privacy

Crawlability is intended for businesses and professional users and is not directed to children.

You must be at least 18 years old, or the age of legal majority applicable in your jurisdiction, to create an account unless otherwise expressly authorized by us.

We use cookies and similar technologies necessary for authentication, payment functionality, security, and product analytics.
